Stall Types & Sizes

What stall options are available?

Stall options vary depending on the venue and whether the event is indoors or outdoors.

Outdoor events

  • Single pitch – 3m × 3m: Suitable for one standard gazebo.
  • Double pitch – 3m × 6m: Suitable for larger displays or two adjoining gazebos.

Indoor events

Indoor pitches are usually based on the number of tables or the allocated floor space. Please check the individual event listing for the options available.

Catering trailers and specialist food pitches are only accepted at selected venues and must be approved before booking.

Are tables and gazebos provided?

No. Traders are responsible for bringing all their own equipment, including tables, chairs, display stands and table coverings.

For outdoor events, you must provide your own suitable gazebo and sufficient safety weights. Gazebos must be securely weighted at every leg. The exact requirements will be included in your setup information.

Gazebos are not normally required at indoor events unless stated otherwise.

Booking & Payment

How do I book a stall?

Browse our upcoming events through the Trader Portal at www.artisanstreetfayre.co.uk, choose your preferred venue and date, and complete your booking online.

New traders must also complete our trader registration process and provide the required documents.

How do I pay?

Payment is taken securely online through our Trader Portal. We accept major debit and credit cards.

When is payment due?

Full payment is required when booking to secure your pitch. Your place is not confirmed until your booking and payment have been successfully completed.

Will I receive confirmation?

Yes. You will receive an email confirming your booking. Full arrival, unloading and setup information will be sent approximately five days before the event.

Please check your junk or spam folder if you cannot see our emails.

Cancellations, Transfers & Refunds

What should I do if I can no longer attend?

Please contact us as soon as possible. Depending on the notice given and our booking terms, we may be able to move your booking to another event, issue a credit or arrange a refund.

Where a refund is approved, a £5 administration fee may be deducted.

Can I transfer my booking to another event?

Transfers may be possible, subject to availability and organiser approval. Please contact us as early as possible, as transfers cannot be guaranteed.

Bookings cannot be transferred to another trader without our prior approval.

What happens if the organiser cancels an event?

If we need to cancel an event, we will contact all affected traders by email as soon as possible. You will be offered the available options, which may include transferring to another event, receiving account credit or requesting a refund in accordance with our booking terms.

For outdoor events, weather-related decisions are made with the safety of traders, customers and staff as the priority.

Insurance & Documentation

Is public liability insurance required?

Yes. All traders must hold valid public liability insurance with a minimum cover of £5 million.

Your policy must cover the products and activities connected with your business and remain valid on the date of the event.

What additional documents do food traders need?

Food and drink traders must provide all applicable documentation, including:

  • Proof of registration with their local authority
  • A current food hygiene certificate or rating
  • Public liability insurance
  • Relevant risk assessments
  • All licences required for the products being sold

Additional documents may be requested depending on the venue and type of food or drink offered.

What to Bring

What should I bring on the day?

You should bring everything needed to operate your stall safely and professionally, including:

  • Your own tables, chairs and display equipment
  • A gazebo and sufficient safety weights for outdoor events
  • Table coverings and professional signage
  • Stock and suitable product displays
  • A card reader and optional cash float
  • Your public liability insurance certificate
  • Any applicable licences or food safety documents
  • A trolley to help with unloading
  • Suitable clothing and protection for the expected weather

Electricity is not included unless it has been specifically advertised or agreed in advance.

Setup & Trading Hours

When can I set up?

Setup times vary between venues. Full instructions, including arrival times, unloading points and access arrangements, will be emailed approximately five days before the event.

Please do not arrive outside your allocated setup period, as access may be restricted.

What are the trading hours?

Trading hours are shown on each event listing and confirmed in your setup email. Many of our events begin at 10am, with closing times varying between 4pm and 6pm depending on the venue.

Can I pack down early?

No. All traders must remain fully set up and trading until the official closing time.

Packing away early can create a safety risk, affect the appearance of the event and disrupt other traders. Leaving early without prior permission may affect your ability to attend future events.

Parking & Access

Is trader parking available?

Parking arrangements vary by venue. Full details will be included in your setup email.

Where an unloading area is provided, traders must unload promptly and move their vehicle to the designated parking location before trading begins.

Can I drive onto the event site to unload?

Vehicle access is only available at certain venues and during designated times. Please do not assume that you can drive directly to your pitch.

Always follow the instructions in your setup email and the directions given by our event team or venue staff.
