Trader Booking Terms and Conditions

SPG Events NW trading as The Artisan Street Fayre
Updated: 26 October 2026
Website: https://artisanstreetfayre.co.uk

1. About these terms

These terms apply to trader stall and pitch bookings with SPG Events NW, trading as The Artisan Street Fayre (“we”, “us” and “our”).

“You” and “the trader” mean the person or business making the booking. You are responsible for ensuring that anyone working on your stall understands and follows the applicable event requirements.

These terms should be read alongside the event listing, our Refund Policy and the venue requirements supplied before booking. Setup instructions explain the practical arrangements for attending your event.

This version applies to new bookings made after publication. Existing bookings remain subject to the terms agreed when booked, unless a change is agreed with the trader.

2. Trader registration and approval

New traders must complete our trader registration form and provide accurate information about their business, products and proposed setup.

Registration does not guarantee acceptance at every event. Availability depends on pitch capacity, product categories, venue restrictions and the suitability of your setup.

Only the products and activities approved for your booking may be offered. Please obtain our agreement before adding a new product category or changing your setup.

Food units, catering trailers and other specialist setups require approval before booking.

3. Booking confirmation and payment

Selecting a date or pitch and submitting a booking does not, by itself, confirm your place.

Your stall is confirmed only once we have approved the booking and taken payment. A payment authorisation or booking acknowledgement is not the same as final acceptance.

Please check your confirmation carefully, including the venue, date, pitch size and selected location. Contact us promptly if anything is incorrect.

If we decline a booking, any payment already taken for that booking will be returned to the original payment method. Where funds have only been authorised, we will release the authorisation.

The price and any applicable charges are shown during booking. Later price changes do not alter the price of an already confirmed booking.

4. Pitch selection and site layouts

Where location selection is available, the location you choose is your requested pitch. It remains subject to booking approval and payment.

We will make reasonable efforts to provide the chosen location. Site layouts or pitch positions may need to change because of access, safety requirements or instructions from the venue.

If a change is necessary, we will explain it and seek to provide a suitable alternative of the booked size. We will discuss any material change with you rather than assume your acceptance.

Displays, stock and equipment must remain within your allocated space and must not obstruct neighbouring stalls, entrances, walkways or emergency routes.

5. Equipment and facilities

Unless the event listing expressly states otherwise, traders must bring their own tables, chairs, display equipment and table coverings.

Outdoor traders must provide a suitable gazebo and the securing equipment required for the venue and conditions. Gazebos must be securely weighted at every leg.

Electricity, water, parking and vehicle access are only included where specifically stated or agreed. Do not assume these facilities are available.

Follow the requirements in your event listing and setup information, including any restrictions on trailers, generators, gas equipment, table types or gazebo types.

6. Insurance and documentation

Traders must hold valid public liability insurance covering their products and activities throughout the event.

The required level of cover is stated in our booking information. Check any additional venue-specific insurance requirements before booking.

You must provide the documents relevant to your business when requested. These may include insurance certificates, risk assessments, food business registration details, food hygiene documentation, licences and equipment safety records.

Tell us promptly if your insurance expires or any relevant registration, licence or approval changes before an event.

We may prevent trading where required documents are missing or a safety requirement has not been met.

7. Product standards and food safety

You are responsible for ensuring that your products and trading activities comply with applicable law, including product safety, labelling, intellectual property and licensing requirements.

Counterfeit goods and products that unlawfully use another person’s branding, designs or characters are not permitted.

Food and drink traders must meet the requirements applicable to their business, including safe storage, temperature control, hygiene and allergen information.

Bring any supporting compliance documents requested for your products. We may ask you to stop selling an item while a safety or compliance concern is investigated.

8. Arrival, setup and trading

Check the event listing for trading hours and read your setup email before travelling.

You must:

  • Arrive and unload during the allocated access period.

  • Follow instructions from our event team and venue staff.

  • Move vehicles out of trading areas when instructed.

  • Be fully set up before the event opens.

  • Keep your stall staffed during trading hours.

  • Remain open until the advertised closing time unless the event manager authorises an earlier departure.

  • Keep your pitch tidy and take your stock, equipment and waste away afterwards.

Contact the event team as soon as possible if you expect to arrive late or cannot attend. An operational message to the event team does not replace the cancellation email required under section 10.

9. Safety and conduct

You must operate your stall safely and treat customers, other traders, venue staff and our team respectfully.

Abusive, threatening, discriminatory or dangerous behaviour is not acceptable.

Follow reasonable safety instructions immediately. We may require unsafe equipment to be secured or removed, suspend trading or close a stall where there is a serious safety concern.

For a breach that can reasonably be corrected, we will normally explain the problem and allow an opportunity to put it right. Immediate action may be necessary where there is a serious risk, unlawful activity or serious misconduct.

Any financial consequences will be assessed in accordance with the circumstances, these terms and applicable law. Removal from an event does not automatically remove rights that cannot lawfully be excluded.

10. Trader cancellations

How to cancel

All cancellation requests must be emailed to:

accounts@spgeventsnw.co.uk

Include your name, business name, booking reference, event location and event date.

Notice is calculated from when we receive your email, not when we reply. Telephone calls and social media messages do not count as cancellation requests.

All references to days mean calendar days.

Within 7 days of booking

If we receive your cancellation request within 7 days of making your booking, and the event starts more than 14 days later, you will receive a full refund to your original payment method.

No cancellation administration fee applies.

More than 7 days after booking

If we receive your cancellation request more than 7 days after making your booking, and the event starts more than 14 days later, the amount paid will be credited to your trader account, less a £5 cancellation administration fee.

Credit can be used towards future event bookings. A refund to your original payment method will not be offered under this policy.

Within 14 days of the event

If you cancel 14 days or less before the event’s scheduled start time, no refund or trader account credit will be issued.

This applies even if the booking was made within the previous 7 days.

Non-attendance is treated in the same way.

These provisions are subject to any rights or remedies that cannot lawfully be excluded or limited.

11. Cancellation by the venue

If an event is cancelled by the venue, you will receive a full refund of the amount paid for the affected event booking to your original payment method.

No cancellation administration fee will be deducted.

This applies regardless of how close the cancellation is to the event.

12. Cancellation by us due to adverse weather

If we cancel an event due to adverse weather, the full amount paid for the affected event booking will be added to your trader account as credit within 72 hours of our cancellation notification.

No cancellation administration fee will be deducted. Credit can be used towards future event bookings.

Under this policy, weather cancellations by us are resolved through trader account credit rather than a refund to your original payment method, subject to any rights you have under applicable law.

The 14-day trader cancellation restriction does not apply when we cancel the event.

13. Event changes and other disruption

We will communicate cancellations and significant changes to affected traders as soon as reasonably possible.

Where circumstances require a proposed change of date or venue, we will explain the available arrangements. We will not treat a materially different booking as accepted without your agreement.

If an event is interrupted, shortened or cancelled in circumstances not expressly covered above, we will explain the position and assess the appropriate remedy in accordance with the booking agreement and applicable law.

Nothing in this section overrides the venue refund or adverse-weather credit commitments above.

14. Trader account credit

Credit issued under this policy can be used towards future event bookings through your trader account.

Future bookings remain subject to availability, suitability and approval. Credit does not reserve a pitch or guarantee acceptance at a particular event.

Please contact accounts@spgeventsnw.co.uk if a credit is missing or you need help using it.

15. Responsibility and liability

We will organise and deliver our services with reasonable care and skill.

You remain responsible for your products, equipment, trading activities and the actions of people working on your stall. Take appropriate precautions to protect your stock and belongings.

We do not guarantee a particular level of attendance, sales, profit or the absence of traders selling similar products.

Each party remains responsible for loss or damage to the extent that it is legally responsible. These terms do not make a trader responsible for loss caused by our negligence or breach of contract.

Nothing in these terms excludes or limits liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability that cannot lawfully be excluded or limited.

16. Personal information

We use personal information to administer registrations, bookings, payments and event communications as described in our Privacy Policy.

Please keep your contact information up to date and check your email, including your junk folder, for booking and event information.

17. Questions and complaints

For cancellations, refunds and trader account credit:

accounts@spgeventsnw.co.uk

For general enquiries or complaints:

rob@spgeventsnw.co.uk

Please include your business name, booking reference, venue and event date so we can investigate your enquiry.

18. Changes to these terms

We may update these terms for future bookings. The version provided when you book applies to that booking unless a change is agreed with you or required by law.

The cancellation provisions in these terms and our Refund Policy are intended to be consistent. Please contact us if you identify a discrepancy.

If a provision is found to be unenforceable, the remaining provisions will continue to apply to the extent permitted by law.

These terms are governed by the law of England and Wales. Disputes may be brought before the courts of England and Wales, without limiting any mandatory rights to bring proceedings elsewhere.

Nothing in these terms removes any rights or remedies that cannot lawfully be excluded or limited.
